Award Description: North County Health Project, Inc. (NCHS) received funding under the ARRA Capital Improvement Program for 3 projects. The largest project ($2,018,572) was for the selection and purchase of a certified Electronic Health Records (E H R) software, a practice management system and a dental practice management system along with the required hardware necessary to support the software. The second project ($248,477) was for the build out of leased space for the movement of our Coastal dental clinic. NCHS will be moving a 3 operatory dental clinic to a larger facility with 9 operatories allowing us the room to serve the increased patient demands. The third project ($95,936) was an IT Equipment project to purchase 2 needed software packages designed to increase efficiences; Policy Tech and Great Plains. Policy Tech is a software designed to maintain and track policies & procedures, reports, contracts, meeting minutes, handbooks and other important documents in a centralized location. Great Plains is the software used by Accounting for purchasing, accounts payable, general ledger, financial reporting and asset management.

Project Description: Project 1-E H R; A steering committee was developed with involvement represented by the Executive Management Team, members of Operations, IT, Clinical and fiscal as well as consultants specializing in identifying the clinic's needs and the selection E H R systems. The committee has met on a regular basis and has seen demonstrations from 3 vendors. Based on the demonstrations 2 vendors have been identified and further research is on going. Request for additional information have been submitted, webex sessions and site visits are being scheduled. Activities running parallel are demonstrations of the electronic dental records, pre-implementation planning and preparations of strategies for education and communication for the organizational users. Project 2-El Camino renovation; We are in week 4 of the projected 7-8 week project. To date the demolition, rough framing, rough plumbing and wiring have been completed. The NCHS property director met with the contractor of the site and they believe the project is on schedule and will be completed according to the proposed timeline. Project 3-IT Equipment; Great Plains has been purchased and installed. The purchasing and accounting department completed the first month end using the new software 8/31/09. Policy Tech has been purchased and installed. A steering committee has met regularly for the past several months. Protocols and the employee handbook have been entered into the software. Training is scheduled for the users in October and with a go live date in November. Entry into the software will be ongoing as employees become more familar with the product.

Jobs Summary: NCHS hired administrative support staff to assist with the data entry into Policy Tech. The FTE for the support staff was .45 for this reporting period. In addition 1.75 FTE's were contracted for the construction project. The contracted FTE's consist of full time employment for 4 weeks for 2 electricians, 2 HVAC specialists, 3 framers, a team of 4 providing the demolition of prior buildout and 1 project supervisor.
